Position Title: Office Manager
Facility: Old Jail Art Center
Supervisor: Executive Director
Hours: Part-Time / 15-22.5 hours per week / Flexible Salary: Commensurate with experience
Minimum Job Requirements: Some college preferred. Professional appearance and behavior in person and on the phone are essential. Excellent verbal and written communication skills are expected. An interest in art and/or regional history preferred. Computer software skills using PC or Mac operating systems essential. Working knowledge of online purchasing, payment, and banking platforms.
Must be able to lift heavy objects at times. Willing to work some evenings and weekends during special events.
Overall Objective: To assist staff and board in keeping the museum’s office related operations in order. Responsible for processing accounts payable, processing gift shop and e-commerce sales and services, managing contracts & vendors, and other general clerical duties.
Duties and Responsibilities:
1. Office Management
Handles cash/credit transactions, completes daily balance sheet, inputs financial information
Prepares periodic deposits and statements
Maintains inventory of general office supplies and orders for staff needs
Maintains contracts and payments to phone, utilities, insurance, credit cards, etc.
Codes, records, and files account receipts/transactions for reference and staff retrieval
Assists staff and accounting firm in budgets and grants preparation
Works closely with accounting firm to prepare and file financial reports
Able to work in a museum environment with challenging and changing exhibitions
Respect for visual arts, history, and associated education is critical
Ability to prioritize and stay organized in a fast paced work environment
Willingness and ability to lift at least 50lbs
Able to work evening or weekend events if requested
Demonstrate a commitment to growing and sustaining the OJACs financial health
3. Additional Duties as Needed
Stays informed of current exhibits – both permanent and temporary
Available to assist at reception desk when requested
Helps with light cleaning in building when required
Other duties as assigned by Executive Director and assisting other staff
Command of QuickBooks or Microsoft Excel, and Microsoft Word
Willingness to learn new forms of technology / platforms currently utilized and as required
