POSITION DESCRIPTION:

A.A. - To assist staff and board in the maintenance of office related operations. Responsible for processing accounts payable, e-commerce sales and services, managing contracts & vendors, and other general clerical duties.

V.S.A. – Ability to greet and provide general information to visitors and callers regarding museum exhibitions and operations. Oversees operations of gift shop and visitor information area. Assists in monitoring visitors to ensure collection safety.


RESPONSIBILITIES:

Administrative Assistant

  • Provides general administrative support for museum staff

  • Maintains inventory of general office supplies and orders for staff needs

  • Works closely with staff and accounting firm to process, record and file accounts payable

Visitor Services Associate 

  • Greets and provides relevant information related the museum, collections, and exhibits to physical visitors as well as inquiries via phone and email

  • Responsible for monitoring visitors during visits to ensure collection safety

  • Processes and manages sales of gift shop/online sales via digital payment processing platforms

  • Manages and maintains gift shop inventory

  • Responsible for opening and closing duties

  • Coordinates OJAC rental contracts and events  

General Personnel

  • Demonstrates respect for visual arts, history and associated education

  • Remains well informed of current exhibitions, collections and programs

  • Maintains a professional, respectful, and service‑oriented focus when interacting with museum staff, visitors and the public

  • Performs all duties in a manner that promotes public confidence in the museum and its employees and in accordance with ethical standards. Adheres to all agency policies and procedures

  • Available for occasional evening, weekend and/or holiday work at special events and programs

  • Willingness and ability to lift at least 50 lbs.

  • Performs all other duties as assigned


Minimum Qualifications:

  • College degree preferred

  • Some customer/ visitor service experience required

  • Excellent communication and interpersonal skills

  • Professional appearance and behavior

  • Proficiency in Desktop Publishing (Microsoft Suite) and Creative Cloud (Photoshop, Illustrator, etc.)

  • Proficiency with digital payment processing platforms (Square, Stripe, etc.)

  • Proficiency with social media/ marketing tools (Constant Contact or equivalent e-news vehicle), Facebook, Instagram, Pinterest, Vimeo, etc.)


Salary commensurate with experience and education. Medical, PTO.
